2027 VENDOR TERMS AND CONDITIONS

Event Dates: September 11–12, 2027
Venue: Augusta Civic Center
Location: Augusta, Maine
Website: www.maineparahorror.com

1. Vendor Agreement and Acceptance

By submitting a vendor application, completing registration, or purchasing vendor space for the 2027 Maine Paranormal and Horror Convention (hereafter referred to as the "Convention"), the applicant ("Vendor") acknowledges that they have read, understood, and agreed to these Terms and Conditions.

The Convention reserves the right to approve, deny, or revoke vendor participation at its reasonable discretion to maintain event standards, public safety, and compliance with venue policies.

Submission of an application or payment does not guarantee acceptance unless confirmed by Convention management.

Vendor spaces are limited and assigned by Convention management. Vendors may not transfer, sell, share, or sublease their assigned space without prior written authorization.

2. Vendor Fees and Payment

All vendor fees must be paid in full by the payment deadline established during registration. Vendor spaces are not considered secured until payment has been received and participation has been confirmed.

Failure to complete payment within the required timeframe may result in cancellation of the Vendor's reservation and reassignment of the space.

Any applicable processing fees, transaction fees, or additional services requested by the Vendor are the responsibility of the Vendor unless otherwise stated in writing.

3. Cancellation and Refund Policy

ALL VENDOR SALES ARE FINAL. NO REFUNDS WILL BE ISSUED FOR VENDOR CANCELLATIONS ONCE AN APPLICATION HAS BEEN ACCEPTED AND PAYMENT HAS BEEN PROCESSED.

This policy applies regardless of the reason for cancellation, including but not limited to scheduling conflicts, illness, travel complications, financial hardship, changes in business circumstances, or an inability to attend.

Failure to attend the Convention does not entitle the Vendor to a refund, credit, or transfer to a future event.

If a Vendor is denied participation before acceptance, any vendor fee already collected will be refunded.

If Convention management cancels the event entirely, vendors will be notified regarding available refunds, credits, or other remedies, subject to applicable law and the terms of the registration purchase.

The Convention will not be responsible for vendor travel, accommodations, merchandise, shipping, or other incidental expenses.

4. Vendor Space Assignments

All vendor spaces are assigned by Convention management. While reasonable efforts may be made to accommodate location requests, no particular booth location, proximity to guests, entrance placement, or amount of foot traffic is guaranteed.

The Convention reserves the right to adjust the vendor floor plan, relocate booths, modify layouts, or reassign spaces as necessary for safety, accessibility, operational needs, or venue requirements.

Vendors must remain within the boundaries of their assigned space. Displays, merchandise, signage, and equipment may not obstruct aisles, exits, neighboring vendors, or emergency access routes.

Any tables, chairs, electricity, internet access, or additional equipment not expressly included in the purchased vendor package are the responsibility of the Vendor. Any additional services requiring venue approval must be arranged in advance.

5. Vendor Setup and Breakdown

Vendors will receive setup instructions, loading information, and access times prior to the Convention.

All vendors must complete setup before the Convention opens to the public and maintain their booth throughout the established operating hours on both September 11 and September 12, 2027, unless otherwise authorized in writing.

Early breakdown, premature departure, or abandonment of a vendor space without prior approval is prohibited and may result in removal or exclusion from future events.

Vendors are responsible for transporting, loading, unloading, assembling, and removing their own merchandise, equipment, and displays.

All vendor materials must be removed from the venue by the designated move-out deadline. Vendors may be held responsible for additional venue charges or removal costs resulting from failure to comply.

6. Merchandise and Prohibited Items

Vendors may sell only merchandise and services consistent with their approved application and the general nature of the Convention.

The sale or display of illegal, counterfeit, stolen, or otherwise prohibited merchandise is strictly forbidden.

All merchandise must comply with applicable federal, state, and local laws, including intellectual property protections, consumer safety requirements, and age restrictions.

The Convention reserves the right to require removal of merchandise or displays that are unlawful, unsafe, excessively graphic for the designated event environment, or otherwise inconsistent with venue requirements.

Weapons, blades, replica weapons, and other potentially dangerous merchandise must comply with venue policies and applicable laws. Any such merchandise requires prior written approval from Convention management.

Vendors selling food, beverages, cosmetics, or other regulated products are responsible for obtaining all necessary licenses, permits, and approvals. Food and beverage sales may be subject to exclusive venue catering agreements and must receive advance authorization.

7. Vendor Conduct and Professionalism

All vendors and their representatives are expected to conduct themselves professionally and respectfully toward attendees, guests, staff, volunteers, venue personnel, and fellow vendors.

Harassment, discrimination, intimidation, threatening behavior, aggressive sales tactics, or disruptive conduct will not be tolerated.

Vendors may not interfere with another vendor's business, block access to neighboring booths, or engage in activities that disrupt Convention operations.

Convention management reserves the right to remove any Vendor or representative who violates these standards or creates a safety concern.

ANY VENDOR REMOVED FOR VIOLATING THESE TERMS AND CONDITIONS WILL FORFEIT ALL VENDOR FEES PAID AND WILL NOT RECEIVE A REFUND, EXCEPT WHERE OTHERWISE REQUIRED BY LAW.

8. Sales, Taxes, and Legal Compliance

Each Vendor operates as an independent business and is solely responsible for its sales, financial transactions, payment processing, applicable taxes, licensing, and regulatory compliance.

The Convention does not collect or remit sales taxes on behalf of individual vendors unless expressly required by law.

Vendors are responsible for complying with all applicable Maine sales tax requirements and maintaining any required business licenses, permits, or registrations.

The Convention makes no representations regarding the profitability of participation.

NO SALES, ATTENDANCE LEVELS, CUSTOMER TRAFFIC, OR FINANCIAL RETURNS ARE GUARANTEED.

Vendor participation is an independent business decision, and all financial risks associated with merchandise, inventory, staffing, travel, and operations remain with the Vendor.

9. Liability, Loss, and Property Damage

Vendors participate at their own risk and are responsible for safeguarding their merchandise, equipment, displays, cash, and personal belongings.

To the fullest extent permitted by applicable law, the Convention, its organizers, employees, contractors, representatives, and affiliates shall not be liable for theft, loss, damage, or destruction of vendor property except to the extent caused by their own negligence, willful misconduct, or other liability that cannot lawfully be excluded.

Vendors are responsible for damage to the Augusta Civic Center, Convention equipment, or third-party property caused by their actions, negligence, equipment, or representatives.

Each Vendor agrees to indemnify and hold harmless the Convention, its organizers, and representatives from third-party claims, damages, liabilities, and reasonable expenses arising from the Vendor's negligence, misconduct, unlawful activities, or breach of these Terms, except to the extent caused by the negligence or misconduct of an indemnified party.

Vendors are encouraged to maintain appropriate commercial general liability and property insurance. Proof of insurance may be required if specified by Convention management or the venue.

10. Event Changes and Circumstances Beyond Control

The Convention reserves the right to make reasonable modifications to event schedules, programming, guest appearances, vendor layouts, and operating procedures.

Celebrity guests, speakers, entertainers, and scheduled attractions are subject to change or cancellation without notice. Changes to the guest lineup or programming do not entitle vendors to refunds.

In the event of severe weather, natural disasters, government restrictions, public health emergencies, venue closures, utility failures, or other circumstances beyond the reasonable control of the organizers, the Convention may be postponed, rescheduled, modified, or canceled.

Vendor remedies in these circumstances will be determined in accordance with applicable law and any applicable event cancellation policy.

The Convention shall not be responsible for consequential business losses, lost profits, or vendor travel and accommodation expenses resulting from such circumstances, to the extent permitted by law.

11. Photography, Video, and Promotional Use

The Convention is a public event where photography, filming, livestreaming, and media coverage may occur.

By participating, Vendors acknowledge that their booths, displays, products, and representatives may be photographed or recorded during the event.

Vendors grant the Convention permission to use event photographs and recordings depicting their booths, displays, and participating representatives for legitimate event-related promotional, editorial, archival, and marketing purposes, subject to applicable law.

This permission does not transfer ownership of a Vendor's trademarks, logos, original artwork, or other intellectual property to the Convention.

Vendors remain responsible for securing any permissions necessary for their own promotional materials and merchandise.

12. Advertising and Promotional Representations

Vendors may advertise their participation in the 2027 Maine Paranormal and Horror Convention once their registration has been approved.

Vendors may not represent themselves as official event sponsors, partners, organizers, or endorsed businesses unless specifically authorized in writing.

Use of the Convention's official logos, branding, and promotional artwork must comply with any branding guidelines provided by management.

The Convention reserves the right to request correction or removal of misleading promotional statements.

13. Booth Staffing and Access

Vendors are responsible for staffing and supervising their booths during all public operating hours.

All vendor representatives must comply with Convention identification, credential, and access requirements.

Vendor credentials are intended exclusively for approved vendor personnel and may not be sold, transferred, or distributed to unauthorized individuals.

Additional staffing credentials, if available, may be subject to separate fees.

Vendors are responsible for the actions and conduct of their employees, assistants, and representatives while participating in the Convention.

14. Compliance With Venue Rules and Safety Regulations

All Vendors must comply with Augusta Civic Center regulations, applicable fire codes, occupancy requirements, accessibility standards, and instructions issued by authorized Convention or venue personnel.

Open flames, smoke-producing equipment, hazardous materials, unauthorized electrical equipment, and other potential safety hazards are prohibited unless expressly approved by the venue and Convention management.

Booths and displays must be constructed and maintained safely. Vendors may not attach materials to venue walls, floors, ceilings, or fixtures without authorization.

Failure to comply with safety requirements may result in immediate corrective action or removal from the event without refund, except where otherwise required by law.

15. Removal and Termination of Participation

THE CONVENTION MAINTAINS A STRICT ENFORCEMENT POLICY REGARDING VIOLATIONS OF THESE TERMS AND CONDITIONS.

Convention management reserves the right to immediately terminate a Vendor's participation for violations of this agreement, unlawful conduct, safety threats, harassment, prohibited merchandise, unauthorized animals, or refusal to comply with reasonable instructions from authorized event personnel.

ANY VENDOR FOUND IN VIOLATION OF THESE TERMS AND CONDITIONS MAY BE REMOVED FROM THE EVENT IMMEDIATELY. NO REFUNDS, CREDITS, TRANSFERS, OR OTHER COMPENSATION WILL BE PROVIDED TO VENDORS REMOVED FOR VIOLATIONS, EXCEPT WHERE OTHERWISE REQUIRED BY LAW.

Removal may include immediate revocation of vendor credentials, loss of access to the venue, and exclusion from future Convention events.

When necessary, Convention management may request assistance from venue security or local law enforcement.

16. Amendments and Communications

The Convention may issue reasonable operational instructions, safety requirements, and venue-specific policies before or during the event.

Material changes to these Terms will be communicated to registered Vendors. No material change that substantially alters a Vendor's purchased package or financial obligations will be binding without appropriate notice and any consent required by law.

Vendors are responsible for providing accurate contact information and reviewing official communications from Convention management.

17. Governing Law and Severability

These Terms and Conditions shall be governed by the laws of the State of Maine, without regard to conflict-of-law principles.

If any provision is determined to be unlawful or unenforceable, the remaining provisions shall remain in effect to the fullest extent permitted by law.

These Terms, together with the confirmed vendor registration details and any expressly incorporated written event policies, constitute the agreement between the Vendor and the Convention regarding vendor participation.

18. STRICT NO ANIMALS, PETS, INSECTS, OR LIVE CREATURES POLICY

NO PETS, ANIMALS, INSECTS, REPTILES, BIRDS, RODENTS, ARACHNIDS, AMPHIBIANS, FISH, OR OTHER LIVE CREATURES OF ANY KIND ARE PERMITTED INSIDE THE AUGUSTA CIVIC CENTER AS PART OF ANY VENDOR DISPLAY, EXHIBIT, OR ACTIVITY.

This prohibition applies to all vendors, exhibitors, employees, assistants, and representatives, regardless of whether the animal or creature is intended for sale, exhibition, demonstration, personal companionship, or promotional purposes.

THERE ARE NO EXCEPTIONS FOR ANIMALS OR LIVE CREATURES USED AS MERCHANDISE, ATTRACTIONS, DISPLAYS, OR EXHIBITS WITHOUT EXPRESS WRITTEN AUTHORIZATION FROM CONVENTION MANAGEMENT AND THE AUGUSTA CIVIC CENTER.

SERVICE ANIMALS: Qualifying service animals accompanying individuals with disabilities are subject to applicable federal and Maine accessibility laws. Vendors bringing service animals are requested to notify Convention management in advance so that appropriate coordination with the Augusta Civic Center can occur. Advance approval or documentation cannot be required as a condition of entry for a service animal protected under applicable law.

Emotional support animals, therapy animals, companion animals, and pets that do not qualify as legally protected service animals are prohibited.

ZERO TOLERANCE ENFORCEMENT: ANY VENDOR FOUND IN VIOLATION OF THIS POLICY WILL BE REMOVED FROM THE EVENT IMMEDIATELY WITHOUT REFUND, EXCEPT WHERE OTHERWISE REQUIRED BY LAW.

The Vendor will forfeit all fees paid and will not be entitled to a refund, credit, transfer, or compensation.

19. Vendor Acknowledgment and Agreement

By submitting an application, purchasing vendor space, or electronically accepting these Terms and Conditions, the Vendor confirms that they have read, understood, and agreed to all provisions of this agreement.

The Vendor specifically acknowledges and agrees that:

All vendor fees are nonrefundable following acceptance and payment, except as otherwise stated or required by law.

No sales, attendance figures, customer traffic, or financial returns are guaranteed.

All vendors must comply with Augusta Civic Center rules and regulations.

No pets, animals, insects, reptiles, birds, rodents, arachnids, or other live creatures may be brought into the venue as part of vendor activities without express authorization, except for legally protected service animals.

Vendors are responsible for their own merchandise, equipment, employees, and business operations.

Vendors must comply with all applicable federal, state, and local laws.

Any violation of these Terms and Conditions may result in immediate removal from the Convention.

Vendors removed for violations will not receive refunds, credits, transfers, or compensation, except where otherwise required by law.

BY COMPLETING REGISTRATION AND SUBMITTING PAYMENT, THE VENDOR ACKNOWLEDGES THAT THEY HAVE READ, UNDERSTOOD, AND AGREED TO BE BOUND BY THESE TERMS AND CONDITIONS.
