Sponsorship Terms & Conditions
September 11–12, 2027 | Augusta Civic Center | Augusta, Maine
By purchasing or agreeing to a sponsorship package for the 2027 Maine Paranormal & Horror Convention, the sponsoring individual, business, or organization ("Sponsor") acknowledges and agrees to the following Terms and Conditions.
1. Sponsorship Agreement
All sponsorships are subject to approval by the Maine Paranormal & Horror Convention ("Organizer"). The Organizer reserves the right to accept or decline any sponsorship application at its sole discretion. Sponsorship benefits are determined by the package selected and the benefits specifically outlined in the sponsorship agreement or application.
2. Payment and No Refund Policy
ALL SPONSORSHIP PAYMENTS ARE FINAL AND NON-REFUNDABLE. NO EXCEPTIONS.
Once payment has been submitted and the sponsorship has been accepted, no refunds, credits, or reimbursements will be issued for any reason, including but not limited to cancellation by the Sponsor, failure to attend, changes in business circumstances, dissatisfaction with promotional results, or failure to utilize sponsorship benefits.
Sponsorship fees are considered a commitment to the event and its associated marketing, promotional, and operational expenses.
3. Sponsorship Benefits
Sponsorship benefits vary based on the selected sponsorship level and may include logo placement, advertising, promotional recognition, social media exposure, event signage, website placement, admission passes, or other opportunities specifically described in the sponsorship package.
The Organizer will make reasonable efforts to fulfill all agreed-upon benefits. However, specific placement, promotional timing, audience engagement, and advertising performance are not guaranteed unless expressly agreed upon in writing.
4. Marketing Materials and Deadlines
Sponsors are responsible for submitting all required logos, artwork, advertisements, and promotional materials by the deadlines provided by the Organizer.
All submitted materials must meet the Organizer's specifications and quality standards. Failure to provide materials by the established deadline may result in the loss of certain promotional benefits without refund or compensation.
The Organizer reserves the right to reject materials containing offensive, unlawful, misleading, discriminatory, or otherwise inappropriate content.
5. Use of Names, Logos, and Trademarks
By participating as a Sponsor, the Sponsor grants the Organizer a limited, non-exclusive, royalty-free license to use the Sponsor's business name, logo, trademarks, and approved promotional materials for purposes directly related to advertising, promoting, and operating the Maine Paranormal & Horror Convention.
Sponsors retain ownership of their intellectual property. The Organizer retains ownership of its own trademarks, branding, promotional materials, and event-related intellectual property.
Sponsors may identify themselves as official sponsors of the event during the sponsorship period but may not imply ownership, management authority, or endorsement beyond the agreed sponsorship relationship.
6. No Guarantee of Results
The Organizer does not guarantee any specific attendance numbers, sales, customer leads, website traffic, social media engagement, business exposure, or financial return resulting from a sponsorship.
Sponsorship purchases are made with the understanding that promotional opportunities provide exposure and brand visibility, not guaranteed commercial results.
7. Event Changes, Postponement, or Cancellation
The Organizer reserves the right to modify the event schedule, programming, celebrity appearances, attractions, venue arrangements, or other operational details as necessary.
In the event of postponement or rescheduling, sponsorship agreements and associated benefits will transfer to the rescheduled event whenever reasonably possible.
In the event of cancellation, the Organizer will make reasonable efforts to provide alternative promotional benefits or arrangements where feasible. Sponsorship payments remain non-refundable, except where a refund is required by applicable law or expressly provided in a separate written agreement signed by the Organizer.
8. Sponsor Conduct and Representation
Sponsors are expected to conduct themselves professionally and in a manner consistent with the event's standards.
The Organizer reserves the right to terminate sponsorship participation if a Sponsor engages in unlawful activity, harassment, threatening behavior, fraudulent practices, unauthorized promotional activities, or conduct that materially harms the event, its attendees, participants, or reputation.
Termination resulting from a Sponsor's violation of these terms will not entitle the Sponsor to a refund.
9. Exclusivity and Competing Sponsors
Unless specifically stated in a written sponsorship agreement, sponsorship packages do not provide exclusive rights within any business category or industry.
The Organizer reserves the right to accept multiple sponsors from similar or competing businesses.
Any exclusivity arrangements must be confirmed in writing before sponsorship payment.
10. On-Site Sponsorship Activities
Sponsorship does not automatically include vendor space, exhibition space, product sales rights, product distribution, or permission to conduct promotional activities on event property.
Any on-site activities must receive prior approval from the Organizer and comply with Augusta Civic Center policies, applicable laws, and event regulations.
Sponsors receiving vendor or exhibition space as part of their package must also comply with the event's Vendor Terms and Conditions.
11. Liability and Insurance
Sponsors are responsible for their own employees, representatives, property, equipment, displays, and promotional materials.
The Organizer is not responsible for lost, stolen, or damaged Sponsor property except to the extent caused by the Organizer's negligence or misconduct as determined under applicable law.
Sponsors conducting on-site activities may be required to provide proof of appropriate liability insurance before participating.
12. Sponsorship Transfer
Sponsorship packages may not be sold, assigned, or transferred to another individual, business, or organization without prior written approval from the Organizer.
Any approved transfer remains subject to the original sponsorship terms and conditions.
13. Failure to Utilize Sponsorship Benefits
Sponsors who elect not to participate in available promotional opportunities, fail to submit requested materials, or do not attend the event will not receive a refund, credit, or replacement benefit.
The Sponsor is responsible for communicating with the Organizer and meeting all requirements necessary to receive the benefits included in the selected package.
14. Modifications and Additional Agreements
Any changes to the Sponsor's purchased package, payment obligations, or guaranteed benefits must be agreed upon in writing by both parties.
The Organizer may establish reasonable operational requirements and deadlines necessary to administer sponsorship benefits, provided they do not materially reduce the benefits already purchased.
15. Governing Law
These Terms and Conditions shall be governed by the laws of the State of Maine, without regard to conflict-of-law principles, except where applicable law requires otherwise.
16. Acceptance of Terms
By submitting a sponsorship application, completing payment, or signing a sponsorship agreement, the Sponsor acknowledges that they have read, understood, and agreed to these Terms and Conditions.
The Sponsor further acknowledges that ALL SPONSORSHIP SALES ARE FINAL, ALL PAYMENTS ARE NON-REFUNDABLE, AND NO GUARANTEE OF FINANCIAL RETURN OR SPECIFIC PROMOTIONAL RESULTS HAS BEEN MADE.
